Travel management for organisations

We handle travel for NGOs, corporate teams, government agencies, institutions and large private groups alongside our leisure work.

The requirements are different. Procurement rules, approval chains, budget lines, reporting and multiple travellers arriving from different places all have to be managed. The person booking is rarely the person travelling.

We work to that. One point of contact, written quotes you can put in front of a finance team, and someone reachable when a flight changes at eleven at night.

What We Handle

Air Ticketing

Domestic, regional and international flights.

We search for direct and cost-effective routings, pass on the options available to us, and send two or three choices so your team can compare schedule against price before deciding.

We handle changes, reissues and cancellations, including outside office hours.

Group Fares

Groups of ten adult passengers travelling together may qualify for a group fare, subject to the airline, route, booking class and availability. Airline rules differ, but earlier dates and approximate passenger numbers give the best chance of holding suitable space.

Group bookings may offer more flexibility than individual tickets while the passenger list is still being finalised. Name changes, ticketing deadlines, deposits and reduction rules depend on the airline and must be confirmed in writing before booking.

Conferences and Events

We arrange conferences for groups of different sizes in Kenya and the wider region.

We work with hotels and lodges equipped for meetings, confirm that the venue suits your requirements, and check that agreed equipment is in place before delegates arrive.

Residential conferences, team retreats, field visits and side trips are arranged together rather than through separate suppliers.

Accommodation

Hotel and lodge bookings across the region, negotiated rates for repeat volume where available, and rooming lists managed on your behalf.

Ground Transport

Airport transfers, inter-city movement, field transport and 4x4 vehicles for teams working outside the main centres.

We use drivers who know the routes and can work to agreed schedules, pickup plans and security requirements.

Meet and Assist

Our representatives meet delegates at airports and SGR stations, assist with luggage and see travellers through to their onward connections.

This is particularly useful when a group arrives on several flights or when delegates are visiting Kenya for the first time.

Visas and Travel Support

Guidance on entry requirements for each country on the route, support with visa applications and travel insurance where required.

Entry rules are set by the relevant authorities and can change. We confirm the requirements that apply to each traveller and itinerary before travel.

Written Quotes and Documentation

Quotes are itemised so a finance team can read them. We provide invoices, receipts and supporting documentation in the format your accounting, procurement or donor-reporting process requires.

Policy Compliance

Tell us your travel policy, class of travel, approved suppliers and per-diem limits. We will book within them and flag anything that falls outside.

Availability Outside Office Hours

Flights change, delegates miss connections and plans move. Our phone line is answered outside office hours, including at weekends.

Field and Programme Travel

Organisations working outside the main centres have requirements a conventional agency does not always cover: vehicles suited to the roads, drivers familiar with the routes, accommodation where there is little choice and movement at short notice.

Tell us where your teams operate and we will plan around the realities of the route rather than the map.

We can coordinate field transport, airport collection, accommodation, permits, local guides, meeting logistics and onward travel as part of one itinerary.
